We are seeking a personable, organized, and detail-oriented individual to join our team as a Part-Time Meeting Coordinator in our Manchester, NH office. As a Meeting Coordinator, you’ll be responsible for assisting the Meeting Services team with coordinating numerous meetings each year (25-100 participants), conventions (up to 2,500 participants) and member trips (from 300-800 participants per trip). Our ideal candidate will be able to work at flexible schedule of at least 20 hours (and beyond when needed) preferably throughout 5 days a week during normal business hours (Monday-Friday between 8a-5p). You’ll be able to work independently, as well as thrive on a team in a fast-paced, ever-changing environment.

As a Meeting Coordinator, you’ll be responsible for assisting the Meeting Services team with coordinating numerous meetings each year (25-100 participants), conventions (up to 2,500 participants) and member trips (from 300-800 participants per trip). Our Meeting Coordinator will:
- Provide meeting support, assisting to support member needs, including managing confirmation emails, name badges, tent cards, facilitating transportation bookings for attendees, communicating AV needs and assisting with meal selections and other meeting activities.
- Provide general meeting services support especially when others on the team are traveling, assisting with onsite meetings, and keeping up to date with current event and meeting trends.
- Assist with the building of meeting websites within Cvent platform for member trips and small meetings, including Registration management and building/generating reports as well as maintain master registration reports.
- Provide customer service support including supporting meeting participants with online or telephone registration, acting as “information center” and answering general event inquiries and questions, work closely with team to ensure successful execution of meetings.
- Support small meetings ensuring target dates are met, coordinating meeting material preparation and meeting logistics.
Do our requirements match YOUR background?
- High school diploma (college degree preferred) plus 1-2 years’ experience in administrative support or meeting planning preferred
- Collaborative team player with drive and passion for delivering exceptional customer service for meetings and special events.
- Excellent interpersonal, customer service, organizational, and attention to detail skills.
- Basic math, MS Office, Word, Cvent (or other registration platform) and Excel proficiency.
- Ability to work a flexible schedule or extend hours (beyond 20 per week) when needed.
- Ability to work independently both live and virtual; work and thrive in a team, fast-paced, ever-changing environment.
