We are seeking a motivated, collaborative facilities professional with an extraordinary customer service focus as a Facilities Coordinator in our Manchester, NH office. As a Facilities Coordinator, in collaboration with the Office Manager, you’ll be responsible for overseeing, maintaining, and coordinating the day-to-day smooth operation of office services, logistics, and vendors. This is an important role within our organization to ensure our staff have everything needed to ensure our member’s success. You will assist and/or facilitate in creating a work environment that our employees are proud to be part of. We are seeking a motivated, collaborative facilities professional with an extraordinary customer service focus as a Facilities Coordinator in our Manchester, NH office. As a Facilities Coordinator, in collaboration with the Office Manager, you’ll be responsible for overseeing, maintaining, and coordinating the day-to-day smooth operation of office services, logistics, and vendors. This is an important role within our organization to ensure our staff have everything needed to ensure our member’s success. You will assist and/or facilitate in creating a work environment that our employees are proud to be part of. Our Facilities Coordinator will:
- Manage all mailroom requirements to include distributing and coordinating all packages and mail, picking up outgoing mail for daily processing, maintaining postage machine, keeping mailroom orderly and restocked, and staying up to date with current shipping process with our shipping vendors.
- Be responsible for all service needs and vendor relations in the Manchester facility including but not limited to: HVAC, electrical, lighting, contractors, parking and annual parking tag updates, plant care, elevator, appliances, key fobs, etc. and negotiate repairs to building (roof leaks, stairwells) with Property Management.
- Provide inventory management and storage of office and janitorial supplies, initiating vendor contact, negotiation, and obtaining final approval of pricing.
- Office modification to include general painting, office repairs, etc.
- Provide overall organization, planning, tidiness, and control of storage area, mailroom, and conference rooms.
- Preventative maintenance and management of printers, copy machines, faxes, and recycling.
- Coordinate annual convention shipping and provide event equipment assistance with corporate lunches and meetings.
Do our requirements match YOUR background?
- Minimum of 2-3 years’ facilities coordination and/or project coordination experience.
- Experience in building and equipment maintenance including commercial HVAC, plumbing, electrical and security systems; older historic building maintenance preferred.
- Excellent organization and customer service; must be self-motivated to locate all office/maintenance issues and work to be done.
- Knowledge of maintenance planning and schedules and the ability to respond to building and equipment emergencies.
- Knowledge of building safety regulations and security protocols.
- Personal computer skills and Microsoft office skills (inclusive of Word, Excel, PowerPoint, and Outlook).
- Excellent written and verbal communication skills with the ability to communicate with corporate staff and vendors in a courteous, tactful, and concise manner.
- Ability to lift up to 50 pounds.
